Goals & Targets (OKR) Improvements
We are continuously updating the Goals & Targets feature based on your feedback. Here are some of the updates from the previous release cycle:
- Add Updates to Goals: You can now add updates to Goals, just as you can add updates to Targets. This gives teammates the ability to add a Status (green/yellow/red) and notes to the overarching goal.
- Link Projects and Actions to G&T: Link Projects and Next-Actions to Goals so you can effortlessly track the work and collaboration needed to hit your organization, circle or team targets.

Introducing Goals & Targets – Now in Beta!
We are thrilled to announce the Beta release of a transformative new feature in GlassFrog – Goals & Targets! As we continually strive to enhance your experience, this latest addition is designed to bring unprecedented clarity and alignment to your team's objectives.
What is Goals & Targets?
Goals & Targets is a dynamic new tool that enables you to efficiently track and manage objectives at various levels - be it company-wide, within specific circles, or individual roles. Inspired by the OKR (Objectives and Key Results) framework, this feature provides a structured approach to setting and pursuing strategic goals. Goals & Targets supports OKRs, in addition to other methodologies you might be using in your organization.
Key Features:
- Create Company-wide Visibility: Align every member of your organization with the overarching company goals.
- Establish Circle-Level Objectives: Foster collaboration and clarity within your team circles.
- Set Specific Targets: Track the metrics or KPIs that measure where you are against the targets showing where you want to be.
How to Access Goals & Targets?
For Admins:
- Navigate to the Organization Settings page under the Admin menu on the left nav
- Under the settings tab, enable ‘Goals & Targets’ in the Beta Features section
For Non-Admins:
Contact your organization's administrator and let them know you’d like to use this feature!
Availability:
While in beta, Goals & Targets is currently available to both our Premium and Free customers.

Print your data!
You now have the power to generate a comprehensive PDF that includes all the essential information about your organization. To get started, simply go to the Reports section in the left menu and click on the Organizational Data tab. From there, you can select the specific role or circle you want to print, along with its core details such as purpose, accountabilities, domains, and role fillers.
If you're a premium subscriber, you'll have even more options at your disposal. For our premium subscribers, you can also choose to print projects, metrics, checklists, notes, policies, and more. Additionally, you can include all sub-circles and even add a table of contents. This powerful feature allows you to create a snapshot of your entire organization, along with all the related information. It serves as a comprehensive solution for printing and documenting crucial governance and organizational data.
Circle level governance
In some cases, organizations prefer to adopt a new governance process gradually, one team at a time, rather than implementing it organization-wide. If this incremental adoption strategy resonates with your organization, you now have the ability to enable governance on a Circle-by-Circle basis with a premium subscription to GlassFrog.
This means that you can choose to have governance turned on for one Circle, allowing governance changes to follow the built-in GlassFrog process. Meanwhile, another Circle can have governance turned off, granting the Circle lead the flexibility to make any necessary governance changes as needed.
To utilize this feature, there are two simple steps to follow:
1. The GlassFrog administrator needs to enable "Circle Level Adoption" by navigating to Organization Settings, selecting the Rules tab, and editing the "Changing Governance" option.
2. Once enabled, each Circle Lead can individually toggle the Governance setting for their Circle. They can achieve this by selecting their Circle, choosing "Edit Circle Settings" from the three-dot menu, and toggling the option labeled "Governance on in Circle."
By implementing these steps, your organization can embrace a flexible approach to an inclusive governance process, tailoring it to the specific incremental adoption strategy of the organization.
Private to person projects
You're already aware that GlassFrog is an excellent system for tracking projects requested by others, where regular updates are essential. But what if you want to keep track of your own personal projects without having them appear in Tactical meetings? Well, now there is a solution for our premium users.
When creating a project, you can now set its visibility to "Private to Person," ensuring that only you can access and view the project. To access all your projects, including those marked as "Private to Person," simply click on "Projects" in your personal area located in the left navigation bar.
It's important to note that projects marked as "Private to Person" will not appear in any searches conducted by others, including the Circle Lead and Secretary.
Private-to-Circle Checklists and Metrics
Occasionally, there are certain checklists and metrics that hold significance for your team but may not be suitable for the rest of the organization to view. Wouldn't it be wonderful if you could restrict access to these items and make them visible only to your Circle?
Guess what? If you are in an organization with premium access, now you can do just that! When you create a checklist or metric, you have the option to mark it as "Private to Circle." By selecting this option, only members within that Circle will be able to see the checklist or metric listed, ensuring confidentiality when needed for your team.
Custom nicknames are here!
I'm sure you've noticed that when you add an agenda item in a meeting, it automatically appends your initials. While this is convenient, wouldn't it be even better if you could personalize your agenda items with a custom nickname? Well, guess what? Now you can if your on premium!
To create your own personalized nickname for agenda items, simply navigate to your profile page and click on "Edit Profile." Look for the new option called "Nickname," where you can enter a nickname of your choice using up to four characters. Be the trailblazer on your team and give it a try, and let's see who catches on to your new nickname!
Change the order of accountabilities and domains
Have you ever wanted to rearrange the order of accountabilities in your role? Your wish has been granted! We have implemented a feature for organizations with premium access that allows you to change the order of accountabilities and domains instantly.
For our premium users, you now have the flexibility to modify the order of accountabilities and domains within any role you fill. And if you are the Circle Lead or the Secretary of the Circle, you have the authority to rearrange the accountabilities and domains for any role within your Circle.
Checklists and Metrics just got easier for our premium users
The first feature enhances your work organization by providing a centralized view. Instead of navigating through multiple circles, you can now conveniently access all your checklists and metrics in one place. To find these options, simply go to the left navigation of your personal system area listed just under "Proposals."
The second feature promotes transparency by allowing you to gain insights into others' work. You can now view the checklists and metrics that your team members are tracking. By selecting a member of the organization, you will be directed to their profile page, which includes two new tabs: Checklists and Metrics. From these tabs, you can easily access and review all of their checklists and metrics.
Please note that the privacy settings remain intact for each checklist and metric. Any items marked as private within a Circle will still be protected, and non-members of that Circle will not have access to view such items.
New features
We have two new features that we just rolled out.
The first is the ability to re-order metrics and checklists, so that you can control which ones you get to first in meetings. Now, if you go to the metrics or checklists tabs on your circle page, you'll see six dots to the left side of each metric/checklist. You can use those to drag-and-drop and easily choose the order you want most.
The second feature we've released has to do with the members of your organization who haven't yet been assigned roles. Before, it was hard to see which members those were, since there was no easy way to tell. Now, Admins can scroll through your Organization Members page and easily see which members those are by looking for the red tag next to their names.

WYSIWYG beta is now available
What You See Is What You Get!
These new editing features will allow you to easily modify your text in GlassFrog without having to use HTML tags or Markdown. Available options are italics, bold, strikethrough, quotes, headings, links, and ordered and unordered lists. Also there are undo and redo buttons.
You'll be able to use these features in policies, notes, and so on.
If you're interested in joining our beta of these features, any Admin of your organization can go into your Organization Settings, choose the Settings tab, and enable that feature.

Multi-circle Tactical meetings are now live
Have you ever wanted to invite other roles or circles to your Tactical meetings? Now you can!
Premium GlassFrog subscribers will see a plus-sign in the top right of their screen during Tactical meetings. This button will allow you to invite other roles, or even whole other circles, to your Tactical meetings.
This cross-circle Tactical functionality fulfills the promise in the Constitution that Tactical meetings should not be restricted and can be open to anyone in the organization, if the circle wants to invite them.
Here are the available features:
• All roles and circles in the organization can be invited to any circle's Tactical meeting.
• An invitation banner is shown to all invitees.
• Invitees are shown on the Tactical meeting history page.
• Invitees can add agenda items.
• All subscribed invitees will receive the meeting output email.
• All invitees can be assigned projects and actions.
And, as a side benefit, we have also added the ability to subscribe to roles, so now you can sign up to get email updates for specific roles, in addition to being able to subscribe to circles.
These benefits are available to all Premium subscribers. If anyone else would like to test this functionality, please email us at support@glassfrog.com to get a free trial of premium.
Get More Control Over Your Checklists & Metrics
Weekly, monthly, and quarterly are not always the times when you need to report on a metric or checklist. But these were the only options in GlassFrog. Until now!
We’ve added a new option to give you more flexibility with timing.
Admins can now set custom frequencies* for checklists and metrics. To get started, head over to Admin > Checklists & Metrics in the side navigation.
For everyone else, new options set by your organization’s admins will automatically appear under the “Frequency” dropdown list when you’re adding or editing a checklist or metric.
Did you know?
You can also set global checklists and metrics* under Admin > Checklists & Metrics. When you set a new global checklist or metric, it’s automatically added to every existing circle in your organization.
* These features are only available on the GlassFrog Premium plan. But if you’re on the Forever Free plan and it’s been a while since you last tried it, you can request an additional Premium trial.
June Announcements
The GlassFrog Team is pleased to announce the release of modular adoption!
Holacracy v5.0 is officially out and as part of it, GlassFrog is releasing the Modular Functionality. This lets GlassFrog admins select the articles of the constitution the organization uses in the Organization Settings.
For each article, an organization can either choose to use the rules from Holacracy, from the traditional management hierarchy, or input a custom text for how the module is supposed to run. Every member of the organization can access a read-only version of the organization’s custom constitution. With the exception of Organizational Structure, each Holacracy module can be enabled independently.

Additionally, GlassFrog admins can now upgrade/downgrade between v4.1 and v5, and move to setup mode more seamlessly. Modular configuration is only available in v5 and downgrading with partial Holacracy modules to v4.1 will enable all Holacracy modules.

February News!
Hello, all, and happy February!
First of all, given the success of the recent GlassFrog webinars, we will be holding a new 60-minute free webinar on February 16, 2021 at 12:00 PM (Eastern Time) to show you how to best craft and process your tensions within GlassFrog. Register now if you’re interested!
Second, we'd like to introduce a couple of new useful and requested GlassFrog features:
1. When you're in a tactical meeting, you can now edit the tension that is being displayed, allowing you to add or update the tension associated with the current agenda item.
2. A submitted response to an asynchronous proposal can now be changed if the proposal hasn’t been accepted yet, by clicking on the “Undo Response” button.
• The escalated proposals go into the Open Proposals section. You may see more escalated proposals in this list now since before they were only displayed for the proposer.
• If a member modifies their response, and it removes the last escalation, then the proposal will change back to being actively proposed, and the proposer and anyone who hasn’t responded yet will get email/slack notifications, as appropriate.
• If a “de-escalated” proposal had a deadline, the deadline will be adjusted to account for the missing time.

New year, new features on GlassFrog!

First of all, the GlassFrog team wishes you a happy and prosperous New Year!
To start 2021 on a good note, we wanted to share a few new GlassFrog features that recently came out:
Archive Projects simplified
In a Tactical meeting or on the Circle’s page > Projects tab, you can now archive projects very simply (in grid view) by clicking on the project you want to archive and dragging it into an “Archived” container!
Auto-Accept limit time default (Premium organizations)
Newly created sub-circles now inherit the auto-accept time limit from their parent circle for asynchronous proposals. The limit can be edited in the Circle’s settings. More on this here. Proposals in the new circle won't go off into never-get-accepted land anymore!
Role Linking Governance
Premium v5 orgs have an option in Governance to invite roles from other circles to join any circle that would like their input or support. Now there is also an option for the new circle to add Governance to the linked role, such as domains and new accountabilities in the new circle. Role fillers can also remove their role link without having to go through governance.

New features supporting v5 Holacracy are now available!
Is your organization running the beta version 5.0 of Holacracy?
If so, you should know that there are some exciting new features, available now.
1. Core roles are now hidden on the org chart. If those roles (Secretary, Facilitator, Circle Lead, and Circle Rep) are unfilled, they're also removed from the list of roles on the circle page. We're interested in your feedback on this feature, so please let us know if you have any comments!
2. Role linking is now available for premium v5 orgs. Premium orgs now have an option in Governance to invite roles from other circles to join any circle that would like their input or support. Later on, there will be an option for the new circle to add Governance to the linked role, such as new accountabilities in the new circle, so keep your eye out for that one.
3. In-line editing for single-filled circles is available. If you're the only member of a circle, you should be able to make edits to the circle's roles, directly from the role pages. Look for the pencil icon and click that to change the purpose of roles, add accountabilities, etc. This removes the need to open a meeting to make these changes.
4. "Break Down Role" has gone away, streamlining the process of turning roles into circles. Now, for the roles you fill, if you want to add internal Governance, your options are "Start Meeting" and "Add Subrole".

Upcoming Coach Q&A sessions - December
GlassFrog is unique in providing Holacracy Coach Q&A sessions. Those monthly scheduled one-hour sessions are meant for all willing premium users to connect with other practitioners and a Holacracy master coach, and ask questions about their Holacracy practice and/or challenges.

Getting started in GlassFrog has never been as simple!
You just created your organization in GlassFrog and you want to quickly set it up, without having to go into meetings or having all members being notified.
Setup mode is a new feature for admins that allows you to quickly modify the structure of your organization.

Tension Processing: Easy as a Breeze!
Do you often struggle to process your tension? Now GlassFrog helps you to sort it out!
Once you have added a new tension in your “Tension Inbox”, click on “Process” to the far right. Choose one of the four options and let you be guided!
Proposal Workflow:
The Proposal page gives an simple overview of proposals status:
- To Review:
All proposals submitted by other members of your circles, and that you haven't processed yet. - In Draft:
Any of your agenda items for which you wrote a proposal but the proposal hasn't been submitted. - Open Proposals in Your Circles:
Proposals you have submitted and that are waiting to be processed by other members;
Proposals submitted by others that you have responded to but not all members did, and that haven’t been escalated to a meeting.

Manage multiple organizations from one account in GlassFrog
GlassFroggers handling multiple accounts for various organizations, this message is for you!
Remember when you had to create alias email addresses, log in and out from one account to another, joggle between browsers, and write us to close an account so you could join another GlassFrog organization?
This is all over, thanks to our great team of developers who made multi-org support possible! With one email address (one account), you can now manage multiple organizations.
We're still in beta testing and the initial set up has to be done manually by the GlassFrog support team, so if you're interested in this functionality, please reach out to support@glassfrog.com.

Set your own language!
You can now pick your preferred language for your GlassFrog account, regardless of the language set for the rest of your organization. Please see here for instructions.
Current available languages in Glassfrog are Arabic, Chinese, Dutch, English, French, German, Hindi, Italian, Polish, Portuguese, Russian, and Spanish.

Holacracy Resources is launching the first-ever series of online Holacracy courses. They are designed to make it faster and easier to learn Holacracy and become a GlassFrog power-user.

New Features and Bug Resolutions
The GlassFrog Team has been processing your feedback and comments. Please find below some of the noteworthy features and bug resolutions:
- - We disabled closing the proposal modal with the ESC key, so that proposal are not accidentally lost,
- - The meeting banner sticks around until the end of a meeting,
- - We made the Search field a bit easier to spot,
- - You can now view your Profile from the dropdown menu (when you click on your organization's name),
- - The difficulty of signing out from the new UI on small screens has been resolved,
- - Urls in the new UI now redirect appropriately in the classic UI.

New languages available for the GlassFrog interface - Hindi and Portuguese.
GlassFrog is expanding its fronteers with two new languages: Hindi and Portuguese!
Admins can switch to the preferred language by going to the "Organization Settings". Check this article for more details.
As an individual, you can also choose your preferred language by modifying the url. This article tells you more about it.

Exciting new changes at GlassFrog!
- At GlassFrog we've been promising changes. Today the time has come for us to announce the new UI is ready to be used in beta!
For any user interested, you can beta test the new UI by clicking on your name on the top right corner and selecting "Try new UI" of the drop down menu.
You can always switch back to the current interface by clicking on your organization's name in the top left corner and selecting "Use classic UI" in the list.

- Also, in case you missed it: for Glassfrog Premium users also using Slack, you can now make actions and projects requests from one role to another role, directly in Slack.
If you were experiencing issues using this feature, we just fixed a small bug so re-installing the Slack integration on the Organization Settings page should now allow you to get the request functionality.
If you had user group syncing enabled, don’t disable it in order to re-install the Slack integration (that would remove all of your synced user groups), but afterwards re-enable user group syncing to keep it working again.

Proposal Builder Improved & Role Tagging in Slack
Hi there!
We have news!
You might feel that something’s different in Governance meetings and while making Asynchronous proposals in GlassFrog.
That’s because our team has largely rebuilt the entire proposal system.
The vast majority of this functionality is behind-the-scenes, so you might not notice many visible changes; however it will provide a much smoother user experience in some of GlassFrog's core functionality.
Also, for GlassFrog Premium users, if you have a Premium account with Slack, you can now enable a new feature that will allow you to tag roles in Slack and automatically notify all of the individuals filling that role. GlassFrog administrators can set this by syncing your Slack team’s user groups with GlassFrog roles and role-fillers.

If you are an OmniFocus user, now you can sync with GlassFrog in public beta!
Projects and actions you add to GlassFrog will automatically populate your OmniFocus folders (and vice versa) making for a seamless weekly review experience.

Actions have arrived

Single Sign-On is here
Single Sign-On (SSO) allows (Premium) GlassFrog users to log in using their existing SAML authentication (e.g. Active Directory, OneLogin, and Okta). This means they no longer have to manage another set of usernames and passwords. It also streamlines account provisioning. For more information on how to configure SSO, click here.
New Navigation Bar
Next week, we'll be releasing a new navigation bar that's more compact and easy to use.

Slack Integration is here
With our new Slack integration (Premium Plan only), Secretaries can now automatically send asynchronous Governance proposals for their circles to a Slack channel of their choice. Members can then review the proposal and select No Objection or Bring to Meeting right from Slack.
To enable, simply go to Admin > Organization Settings, and click Enable next to Slack. More info here.
Once enabled, Secretaries can turn on the Slack integration for their circles, and members can choose to disable email notifications for asynchronous Governance proposals.

Removal of support for Internet Explorer 9 & 10
Greetings GlassFroggers!
As many of you know, on January 12th, 2016, Microsoft ended support for Internet Explorer 9 & 10 (released in March 2011 and September 2012 respectively) as outlined in their Internet Explorer Lifecycle Policy FAQ.
Since then, many websites have also ended their support for IE 9 & 10, and it’s time for us to follow suit.
On May 1st, 2017, Internet Explorer 9 & 10, will no longer be supported by GlassFrog.
Why GlassFrog?! Why?!
Internet Explorer 9 was released over 6 years ago, and Internet Explorer 10 over 4 years ago.
In January 2016, Microsoft removed support for Internet Explorer 9 & 10, and since then, the browsers haven’t received updates in over a year. They contain many security vulnerabilities that cause harm and will not be resolved by Microsoft. They also no longer are able to deal with the complexities of today's modern web. In particular they struggle with modern JavaScript.
What will happen after May 1st, 2017?
After May 1st, 2017, Internet Explorer 9 and 10 users will no longer be able to access GlassFrog, and will be redirected to a page with instructions on how to upgrade their browsers.
What do I need to do?
You need to upgrade to a modern web browser. We're big fans of Google Chrome and Mozilla Firefox. For more info on which browsers we support, check out GlassFrog Target Platforms.

"Who's in the Meeting?"
Wondering who's in GlassFrog following along during Tactical and Governance meetings?
Now you can see the profile pictures of attendees in the navigation bar.
"Take over as Host"
Ever need to switch secretaries during a Governance meeting?
Now users can "Take over as Host" by clicking the following button during the meeting:
This can also be useful when participants would like to type their own proposals when they're complex.
To find out who's currently the meeting host, look for the blue icon above their picture.
Note: Secretary functionalities are already available for everyone during Tactical meetings, so there's no need for the "Take over as Host" option there.
Meeting Exclusion Indicator
For minor and multi-filled roles, we now have an indicator showing who's excluded from meetings.

New GlassFrog user interface is live!
This has been coming for a long time and we're getting a lot of questions about what motivated us to make such a big change. The answer is that GlassFrog's styling had been with us for a long time and the libraries were becoming out of date. We wanted to switch the look to something more clean and modern, and prepare for more functionality and responsiveness, especially with mobile devices. The switch to these more modern style libraries will make it much easier to quickly make visual changes to the site. Our developers now have more fluid ability to tweak layouts and improve the overall look and feel.
You can expect to see GlassFrog growing in new directions now that our frameworks has been upgraded. Send us your feedback at support@glassfrog.com!
A few other minor changes:
- Membership mailing lists now include the ability to email all the administrators in your organization
- Invoices and receipts now include an "Org Ref" which is your organization ID
- Deleting a role moves all role projects, metrics & checklist items to the Lead Link
- Improved performance of meeting history tab
GlassFrog Software Updates
GlassFrog is getting a new look!
In the coming days expect to see a big change to GlassFrog’s look and feel. We’re delivering an improved layout and font selection as well as many minor usability improvements. Most of the changes are subtle and we’ve put a lot of effort into ensuring that all of your favorite features will still be easy to find. Nothing has been removed although some widgets and links have had their positions adjusted. If you have trouble finding a particular feature please don’t hesitate to email support@glassfrog.com.

Asynchronous Reproposal (Premium only)
Asynchronous proposals that were escalated to a meeting can now be reproposed. This is accomplished on the proposal screen. Click the "proposals" link next to the search box to access. Escalated proposals will still have a "Propose Now" option available.

In this release, the GlassFrog team has added some new ways to email and export users. Administrators can now access mailing lists for Lead Links, Facilitators, Secretaries, Rep Links and all circle members. More info here.
GlassFrog Translation
We've put in more of the background work required to prepare GlassFrog for translation into other languages. We are still accepting translation volunteers. If you would like to help us get GlassFrog translated into your language, email support@glassfrog.com and let us know. Include a link to your organization and the language or languages you speak fluently and we'll contact you when the time comes.
New Proposal Indicator
A proposal badge indicator has been added to notify you when there are new proposals. This will appear next to the "Proposals" link at the top of GlassFrog when there are new proposals to review.
GlassFrog Software Updates
Org Chart Overhaul
The organization chart has received an overhaul to its look and feel and performance. Users will notice faster load times and an improved look and feel. Note: We are currently experiencing an issue where the org chart does not update in a timely manner. This is a known issue and will be resolved in the next update.
Domain name change
The GlassFrog domain has been changed from glassfrog.holacracy.com to app.glassfrog.com. Please update your password and bookmark managers accordingly.
Open Proposals in Circle
GlassFrog now displays all open proposals in your circles. This is an expansion of the Asynchronous Proposal feature available to Premium account holders. Click the “Proposals” link next to the search bar to access this feature.

Custom Circle Sections
We've added the ability to add custom sections to any Circle Page. Go to any of your Circle Pages, hover over the left blue sidebar and notice the gear icon that appears. Click to reveal a new screen that allows you to add new sections to your Circle Page.
Performance Improvements
We changed the way Glassfrog loads resources in your browser and initial page loads are now much faster. Users in Australia are seeing pages load twice as fast! In the US, the benefit is around 100ms or so on the first page load. Did you notice? The overall speed and reliability of Glassfrog are two of our top priorities.
Google Sign-in
You may have noticed that our sign in page has changed. You now have the option to sign in with your Google account. Just click the [Sign in with Google] button on the main log in page (You may need to sign out to see it if you haven't lately). This will link your Glassfrog account to your Google account and make signing in quick and easy. One fewer password to remember!
Glassfrog has new pricing!
As of Jan 1, we’re offering two pricing plans: a Free version with all the basic features needed to get started and practice Holacracy, and a Premium version with a richer feature set to enhance the efficiency and effectiveness of your Holacracy practice.
The Free version can be used by anyone at any organization size, with unlimited users and circles. We are setting pricing for the Premium version using a simple per-user model, similar to other team productivity tools, and pricing it at $9/user/month.
Why the change?
We created the Free version because we want to support the Holacracy community and ensure anyone practicing Holacracy has access to the essential tools to do so, regardless of budget. This is part of an overall initiative to offer a core toolset for implementing Holacracy at no cost, including the Quickstart Guide and various resources available on our website.
The pay-per-user model for Premium is a response to feedback from paying members to create a simplified version that's easier to calculate and predict, and pricing doesn't change as you add and remove circles through the Governance process.
For transparency, we estimate our overall revenue from GlassFrog as a result of this change will be neutral to slightly negative--this is not intended as a pricing model increase, although some clients will pay more and some less under this new formula.

Role Assignment History
Role Assignment History
You can now view the history of role assignments from a role page. Just click on the role name from the circle page "Roles" tab to visit the role page. In the upper right corner, you will see all of the role fillers for the role, and there is now a "History" link that will take you to a new page listing the history of assignments for that role. Note that this history is not yet available for the elected roles of Facilitator, Rep Link, or Secretary.
Secretaries can now assign roles
Secretaries can now help Lead Links with the administrative task of assigning and unassigning people to roles. As a circle secretary, You can assign roles either by dragging circle members from the circle member table into the role, or via the role assignments icon to the right of the role on the role tab.
Anchor circle Lead Links and Secretaries can now configure the Anchor circle:
Lead Links and Secretaries of your organization's anchor circle can now configure it by clicking on the gear icon next to the circle name on the anchor circle page.
You can now see election end date on elected roles:
You can now see when the election term expires for a circle Secretary, Facilitator, or Rep Link on the circle page (in the Core Roles section).
Withdraw Asynchronous Proposals
Did you send out an asynchrounous proposal before you meant to? No problem! You can now just withdraw it by clicking the little 'x' icon in the Proposal column on the My Tensions page. Look for the icon after the number of responses information for that proposal. This will withdraw the proposal and you can send it out again or bring it to a meeting when you are ready.

Process governance proposals asynchronously
You can now send proposals outside of meetings via GlassFrog. Craft a proposal using My Tensions, and submit it for review. Circle members will receive an automatic email notification to review the proposal, and can either say no objection or request that a submitted proposal be proposed in a meeting.
If there are no objections, the proposal will be adopted automatically and circle members are notified via email. Secretaries do not have to do anything.
To use this feature, propose a policy to accept proposals after a number of days, or your proposals will just remain unaccepted unless everyone accepts the proposal.
For proposers, how to use asynchronous proposals:
- Click My Tensions (found via blue navigation bar across the top), craft a proposal, and submit it or save for later.
- Click submit, and confirm. Circle members are emailed about the proposal.
- When viewing My Tensions, submitted proposals indicate they are being processed instead of just a draft. See the number of responses, and view the proposal.
- If a proposal is escalated to a meeting for processing, the proposer will be notified with an email. You can't re-submit after it is escalated.
- To stop the circle from processing a proposal, add it to the agenda from your My Tensions list during an open Governance meeting.
- If a proposal is submitted that includes editing governance records that are in conflict because other proposals have been processed, GlassFrog will email the proposer and not process further. Proposers can add to agenda during an open Governance meeting to process further.
When you receive an email that there is a proposal to review:
- Click Review Proposal to access a proposal in GlassFrog. Review the proposal, and click accept or escalate to a meeting.
- If there are a number of days after which the prospoal would be automatically accepted, that time will be displayed.
- GlassFrog will indicate if someone has requested that a proposal come to a meeting.
Secretaries:
- On the "roles page" or circle page enter the time to auto accept Governance proposals via a gear icon to the right of the circle name.
- Admins, Lead Links, and circle Secretaries can edit the time to auto accept proposals and the circle's nickname.

- When you have a tension for governance, add it to your My Tensions list (found in the blue navigation bar next to My Projects). Type as little or as much as you need for each tension. Save the tension.
- There is also an option as a tactical output called Tension to capture governance tensions.
- Here you can also add an agenda item, the tension, circle, and a proposal if you want.
- Edit the proposal later to be prepared before the meeting. The benefit of this is that you have a way of both tracking tensions and starting proposals outside of meetings.
- Create draft proposals with multiple parts, just like Secretary does during the Governance meeting. Your proposal will be available to select for the next Governance agenda, but you don’t have to add it to the list if you aren’t ready.
- Capture a tension even if you don’t know a starting proposal yet
During the Governance Meeting
- When there is a Governance meeting open, click Join Governance meeting to be able to add your tensions to the agenda. Then click the ‘choose from tensions' link right below where you enter agenda items to add your tension to the list. You get a pop up of agenda items / tensions, and you click to add it to the agenda.
- When Secretary selects your agenda item, those watching via ‘Join Governance’ link will see the proposal, just like when it is entered by Secretary.
- When you click on the agenda item that was added from someone’s My Tensions list pre-populated proposals automatically load in GlassFrog. Edits to any parts of the proposal made before clicking Accept Proposal are saved (so the originally pre-populated proposal is changed if you change or remove anything.
- Once Secretary clicks accept proposal then the agenda item can be 'checked off'.
GlassFrog automatically adds Initials to agenda items
Now GlassFrog adds your initials when you add agenda items during a meeting. If you type a dash '-' and your initials, then that overrides the initials GlassFrog displays.
For Secretaries, if you are adding an agenda item for someone else, type the item, followed by a dash and the initials of the agenda item owner. Then Facilitator can know immediately who owns each item.

Quick Update: My Authority
New in GlassFrog
- "My Authority" page, linked from the nav-bar. Try the role selector showing 'My Roles', and select one of your roles to see constraints on authority in the role. View domains and policies that you may need to consider, and find helpful Holacracy tips as you scroll to the bottom.
- Simple core role definitions are now in GlassFrog. They are a summary of the constitutional definition. See the constitution for the full definitions, but the definitions in GlassFrog (found by clicking the word Secretary, Facilitator, Lead Link, or Rep Link on any roles page) are intended to mean the same thing.
Bug Fix
- Agenda items can now be unchecked in a Governance meeting. Secretary should still click the agenda item label when facilitator is ready to process that agenda item. The agenda items are automatically checked when you click accept proposal, but you can click the agenda label to 'uncheck' the item if needed.

API update - support for syncing with personal systems
We've extended our v3 beta API, adding functions to help sync GlassFrog with personal organizational systems.
- You can now create, update, archive, and delete projects via the api.
- You can now list Actions and Triggers via the api, and filter them by created date
- Projects now include link, value, effort, and roi fields
- Default timezone for dates is now set to UTC instead of Eastern time.

Prioritize projects by business value
Projects can now be sorted by business value to the organization. Simply open up a project and fill in the business value estimate (value) and the effort to complete the project (effort), and GlassFrog will calculate the Return on Investment (ROI) for that project.
About the Business Value Estimates
- Calculations are based on the following formula: Business value to the organization (value) / effort to complete the project (effort) = Return on Investment (ROI)
- We recommend using 'unitless' or 'relative' numbers for value and effort estimates. In other words, 2 being twice the value of 1, and twice the effort of 1.
How to use Business Value Estimates in GlassFrog
- Lead Links typically enter the Value (with input if desired) and the role filler / project owner typically enter the effort. Recommended options are: 0, 1, 2, 3, 5, 8, or 13 for each.
- Save the project, and GlassFrog will show the ROI value on the project, and will sort projects with higher ROIs and values to the top of the project board so that you can see which projects are more valuable to your organization. Or, if you want to enter the value for now and enter the effort later, GlassFrog will show the value on the project and include that when sorting.
- Role fillers can then prioritize their work based on these ROIs or just the Business Value Estimate, or Lead Link can specify prioritizing by highest Business Value or ROI if that is available.
GlassFrog API v3 (beta)
- Implements all v2 functionality
- Format of GET responses and POST and PATCH bodies is json (not xml)
- API paths start with /api/v3
- Mailing Lists now live on the people endpoint, with a parameter of core role; all Person resources now contain the email attribute
- API keys are now associated with individual accounts (rather than the whole organization)

Notifications Upgrades
We've been working on improving the notifications system.
Here are recent updates:
- Daily Summary is now a pretty, more comprehensive Daily Digest. All tactical and governance changes are included rather than a summary, along with what is yours to process at the top, and everything is grouped by circle. (Subscribers who aren't circle members aren't able to see outputs that are marked private to circle in the tactical meeting.)
- In the Daily Digest, any changes to accountabilities of your roles are in a separate section at the top for you to process.
- You'll receive a notification when there is a change to a role policy or role notes in your circles, or in a circle you follow, either immediately or in daily digest format, depending on your subscriptions. The email will include a 'diff' so that you can see what was removed or added.
- Go to My Subscriptions (via the drop down menu in the upper right part of your screen by hovering your mouse over your name and clicking My Subscriptions, below My profile) to change your settings for following circles or change to/from daily digest or individual email format.
We also did some bug fixes. For those who contact us about bugs, thank you because it helps us know the impact of bugs on you and also helps us to identify more ways to improve GlassFrog.
Bug Fixes:
- You will be able to see the text of removed accountabilities and domains (because they've been not displaying) in governance emails.
- A few other smaller bugs were fixed.

Receive meeting emails & view tactical meeting history
We have two new big pieces of functionality.
Highlights; see below for details:
- Actions and triggers can be private to circle. They will be displayed in your tactical meeting history if you do not make them private.
- Follow or unfollow circles other than your own to receive tactical and governance meeting emails.
- Manage your subscription page to choose whether you want tactical and/or governance emails for the circles you follow.
- View actions and projects in a tactical meeting history for your circles and other circles.
Tactical meeting history
- You can now view actions and projects in a tactical meeting history. The default for actions prior to January 31 is 'private to circle'.
- Click the History tab on your circle page and scroll down below the Governance history to view Tactical history.
- Now you can select private to circle for any action, trigger, or project that is created during a tactical meeting. The default is that any outputs are viewable by anyone in the organization, so all outputs will show up in the tactical meeting history if they are not saved as private. Click the lock icon in the output field to make an action, trigger, or project private to circle.
- Note: for companies with information set to publicly viewable, actions and triggers are by default not publicly viewable, but projects are.
Subscribe to meeting emails
- ‘Follow’ circles other than your own to receive meeting emails
- Non-circle members can follow circles and receive Tactical and Governance meeting emails, and unsubscribe from them later. You cannot unsubscribe from circles in which you fill roles. If actions or projects are marked as private to circle, then those won't show up in Tactical Meeting emails to non circle members (who are following that circle).
Manage your Subscriptions
Find your subscriptions by hovering your mouse over the drop down menu next to your name to the left of What's New in the upper right part of your screen.
Edit My Subscriptions
Uncheck boxes to edit your preferences, such as if you'd like to receive only Tactical or Governance meeting emails in the circles that you follow.
Role info in the org chart and more!
There is role data in the org chart, which will is informative when you are clicking and zooming in to see what roles are in a circle.
- Mouse over a role to see the name (if you can't see it when zoomed in)
- When you zoom to a role, you can see the role definition (it scrolls if there are a lot of accountabilities) and the Gravatar of the person who fills the role.
- When you click on the role name or anything that is referenced/linked to in the role (like another role), then you are directed to that page in GlassFrog
- There is an icon above the picture if there are role notes/information
In addition to several bug fixes, other new features from the last release are:
- Drop down menus in the navigation bar for My Roles and My Circles to make it easier for users to get to those pages faster. Mouse over My Circles and My Roles in the blue navigation bar to access the menus. (See screenshot below.)
- Meetings will close automatically after 16 hours so that circle members will then receive the meeting email
New org chart!
I'm excited to announce that last week's release included a much needed update to the org chart.
The new visualization of an organization is now more aligned with a Holacracy structure. The circle structure view also now works much better for larger organizations. Click around to explore HolacracyOne's circle structure!
Here are a few tips for using your org chart:
- Mouse over a circle/role to see the name appear, or to zoom in/zoom out. You'll see the circle selected by the border changing color when you mouse over, and then click to zoom in or out. Zoom in to see labels of sub circles more than three layers deep.
- Internet Explorer is not recommended for best results. You can still use the org chart and navigate to a circle by clicking on the (hyperlinked) circle name. Or use the search function to find a circle and click through in the search results.
- To navigate to a circle page, click the circle name displayed as a hyper link in the circle. More circle names will appear if you zoom in.
- Colors show roles that are filled, unfilled, core roles, or roles that do not have an accountability or a purpose.

Scratch pad for Governance and other updates
We've fixed some bugs and added a scratch pad for Governance meetings.
Scratch pad for temporary text:
- The scratch pad is located below the agenda in an open governance meeting. Secretary can capture starting proposals that are not clearly a Role or a Policy. The text is not saved, as it is just a temporary note pad. Secretary can also chart objections here for the Facilitator.
Other updates:
- References to Scope have been removed on the Circle page to help GlassFrog align with version 4.0 of Holacracy
- When editing a role that is a Subcircle, if Remove Role is selected, then the default selection is Destroy the Role Entirely. If you want to retain any policies or keep the circle as a role, select the relevant options after selecting Remove this Circle.

Notes tab for Circles
This is the equivalent of role notes but for the circle so circle level information can be tracked more effectively. (See below for an example.)
- From your Circle page, or any other tab, click the Notes tab found to the right of the History tab
- Any circle member (or Admin) can add to or edit circle notes
- When a role is made into a circle, then any existing notes will be displayed here
- The notes tab shows all role-level notes within the Circle, except for those belonging to sub-circles, in addition to the circle-level notes
- Click the add button next to your role's list to add information, or add it from your role's page (scroll down) in Published Information and it will be displayed in the circle Notes

New Governance Meeting Interface with Agenda
When creating proposals, there are fewer menu options for more intuitive navigation and viewing.
Create or edit roles in the left column, or create or edit policies in the right column.
- Agenda: Secretary can type the agenda item into the agenda field in the left column. Press enter/return to save the agenda item. Like the Tactical Meeting agenda, click the check mark to complete the item or click the x to delete the item. Screenshare during a virtual meeting or use a projector to show the agenda and proposal.
- Working with Roles: To create, edit, or remove a role or a circle, mouse over the Add/Edit role menu and click on either New Role/Circle or select the existing role by clicking on it. When editing a role, at the bottom of the accountabilities find two options to either expand the role to a circle or else remove the role.
- Working with Policies: Mouse over Add/Edit Policy to display options for adding new policies or editing existing policies. To remove a policy, first select the existing policy, and then check the box at the bottom to remove it. (Note that cross links function like they previously did, and Holacracy Version 4.0 practitoners are not advised to use the Authorize Cross Link option. Instead, create a policy to authorize inviting a cross link.)
- Multi-part proposals: Add parts to a proposal by clicking the green menu bar labeled Add Part at the bottom of the screen. View parts by scrolling down.

Coming Soon - Governance Meeting Interface Changes
Here is a pre-release announcement to give you a heads up about this big change!
The governance meeting interface is currently getting a big overhaul, which will likely be ready before or during next week. The update should help secretaries and other users have an easier time with GlassFrog during governance meetings.
- Users will be able to track agenda items in GlassFrog. There will be no need to track an agenda separately outside of GlassFrog.
- There will be new buttons and drop down menus for creating proposals. Adding parts of proposals will be more intuitive.
Another announcement with more details and a video will be posted once the update is made, which will likely be in the next few days.

Publish role information
This is for checklists and role notes like processes.
- On the role page, scroll down to see Published Information (see below).
- Click +note.
- Type the title in the field.
- Insert a link into the field, or type text. Use html tags if necessary.
- Click Save.
- Add more or edit existing notes as you need.
Circle Member List Update & Bug Fixes
This weekend we released an update improving the Circle Member list:
New Tactical Meeting interface & bug fixes
Yesterday's update includes several bug fixes and a major change to the Tactical Meeting interface. Click here to watch a Youtube demo.
Highlights of the new meeting interface:

There is now a notification when a meeting is in progress and a visible Triage Issues button/tab so any Circle member or Admin can join the meeting from their own computer if it is already in progress.

Anyone can type outputs and close the meeting, so if the Secretary leaves the meeting, anyone can take over from their own computer.

Click the Checklist, Metrics, Projects, and Triage Issues tab once in the meeting to navigate to the next step in the meeting process. The left blue sidebar lets you know where you are in the meeting process.

Type multiple draft outputs for each item, and then delete or save each of them.
-
Everyone can see when someone else types agenda items and outputs.
-
Edit previously saved outputs.

Anyone can capture their own agenda items and outputs, so you can help the Secretary.
This interface also makes it easier to click on the Roles tab or other governance information if you need to check Roles or Policies during a Tactical Meeting.

Triggers now a Tactical Meeting Output
In Tactical Meetings, during Triage Issues, you now have the option to capture a 'Trigger' in addition to other actions and projects. Triggers are actions that need to happen after an event or date. For example, you could have a trigger to Tell Trainer the venue details after the venue is confirmed. Secretary would first enter the action, and then the triggering event or date. Both fields are labeled. The trigger gets assigned to a role, just like other actions and projects.
Tactical & Governance Changes
We deployed a few bug fixes and have some new functionality in both the Tactical and Governance interfaces.
- In a Tactical Meeting during Triage Issues, drop down menus are now (reversed) in the order of Role, and then who it is Assigned To (person). Hopefully this will be more intuitive.
- Projects can be private to those outside your circle. You can access this setting when creating or editing a project both during a meeting and outside of a meeting. Admins can view and edit all projects in the org. See here for a demo: http://youtu.be/vtEzbV1Uob8
- Restructure a sub-circle. It it possible to move roles from one sub-circle to anothers, by absorbing into the super circle and then moving into a sub circle. Find this option after clicking Open Meeting: Governance. See here for detailed instructions: http://youtu.be/GXlEfk5Tm38
Anchor Circle Options & Bug Fixes
Recently we did a handful of bug fixes that hopefully weren't too problematic for most users, but should make adding and editing policies, assigning roles, removing a sub circle, and configuring your anchor circle go a lot smoother! Thanks everyone for reporting issues, as it helps us in our efforts to improve GlassFrog.
New functionality includes a minor update and a bigger one.
Minor update: you can now easily notice if circle members are not filling roles (and may need to be assigned or removed from the circle). Click the person icon to the left of Roles when on the Roles/Circle page. (See screenshot.)
New: Configure your Anchor Circle.
New Users
Click here for the YouTube video for users who have not started using GlassFrog.
New users can just rename their Board to what their Anchor Circle is called.
Click the Edit icon immediately to the right of the Board header on the circle/roles page, found by clicking the Board Circle in your new organization.
Type the Name, Short Name (if you wish), Purpose, and Lead Link (there will be a drop down to select the Lead Link). You are ready to go.
Existing users
Click here for a video walk through of this.
If you are using your Board, you can keep using it or rename it as described above, as needed.
If your GCC is really your Anchor Circle, and you don't use your Board, then you can delete it. Use caution, as you cannot currently create a new anchor circle if you decide you need to insert a new Anchor Circle (that will be some months from now based on our current prioritization.
To Absorb General Circle into the currently named Board:
- Open Governance Meeting in Board
- Click Remove Subcircle
- Select General *Please note: Record your 'Alignment Circle' strategy elsewhere before clicking Accept if you'd like to retain this in your 'new' Anchor Circle.
- Either keep as a role or remove entirely. I will remove entirely.
- Select all the roles and policies to retain in your Anchor Circle There is no way to easily select all; you must check each one that you want to keep.
- Accept Proposal
- Close Meeting
Then Configure Board to be your Anchor Circle by renaming, updating Purpose, and adding former GCC Lead Link, as described above and in the video.
Role Policies & More
Changes this week:
Circle Policies view, ability to add and edit Role Policies for your Roles with a Domain, and pasting a Role definition. Contact Customer Support with any questions or issues.
Circle Policies
When you view a Circle page, Policies are now organized by Domain (see below, or visit this link for a live example). There are no longer categories. When you create a Policy for the Circle during a Governance Meeting, you still select a Domain. See this post for more on creating Policies and selecting Domains.
New! Store Role Policies
If your Role has a Domain, you can store your Policy in GlassFrog to control the Domain. If there is a Domain, an icon to add a new Policy appears immediately to the right of the Domain.
To create a Policy:
1. Click the icon. (See below.) (If a Role does not include a Domain, then the option to add a Policy does not exist.)
2. Enter a title and the Policy. Use role-linking/cross-referencing if applicable. Click Save.
Finding and viewing Role Policies
Role Policies are found on the page for each Role - click a Role name in the Circle page/Roles page, and then the link to their Policies found next to the Domain. (See below for an example.)
After you click the link, you will see the Policies.
Pasting a Role Definition
When creating or updating a Role in a Governance Meeting, you can now paste Role definition parts. If you've emailed a Proposal to the Secretary, it will be easier to enter.
The instructions are in the pop up, which is accessed by clicking the little icon to the right of the Role Name field during a Governance Meeting. (See below for icon.)
Below, a Domain was added, as well as two Accountabilities during a Proposal that Updated the existing Finance Role. Follow the instructions and label all lines that are not Accountabilities. (You may label each Accountablity too, but that is not needed.) Paste each part on a separate line.
When you click Submit, the definition will be added to the Role you are updating (or creating). Clicking Submit does not save the Proposal to the Governance records; you still need to click Accept Proposal if you want to capture it for the Governance records.
Project tracking updates & Bug fixes
Bug fixes
- When the output field is selected during "Triage issues" in a tactical meeting, pressing Enter will now no longer close the meeting. This was happening sometimes, and you won't be able to accidentally close the meeting this way now.
- Links in emails are working again. If you are a Lead Link and get an email stating that there are unassigned roles to fill, if you are logged in, the link in the email takes you to the circle page where you can add people to the roles.
Updates for projects
- Project create date. When you create a project, GlassFrog will store the date. When you click the name of any project to open the pop up (as if you to edit it) and view the create date immediately above the "Update" button. Eventually more dates will be stored, such as when the status changes.
- Track Waiting on Who, For What. Use the "@" followed by the role name to use use a hyperlink to cross reference one or more roles. This displays on the project tab once you save. Example @Updater for a notification of an update. (See below.)
- Type the text of what you are waiting on in the For What. Click Update to save your changes.
Minor Updates: Scope is now Domain
With the recent release of Holacracy Constitutuon V4.0, we have some related development plans for GlassFrog, and they are prioritized along with other new functionality and bug fixes.
With this weekend's update, you'll notice some minor changes:
- Scope has been renamed to Domain, so you'll see Domain/Scopes now instead of Scope
- Core role definitions are updated to the latest version of Holacracy. Click the hyperlinks for core roles on the circle page to read them
In addition to the above, there are new options for associating a Domain when creating and editing policies in Governance.
When creating a policy, 'None' is no longer an option for the affected Domain; select the Domain that each policy affects. If there is a specific Domian limited by the policy, as in the example below, then select that one.
The default option is All functions & activities within the Circle; this only limits those within the circle.
Feature: Policy Interface Update
The policy interface has been updated. When you create a policy, include a category which is treated as a tag. Associate the policy with the relevant scope:
Hover over the policy name and the text will display on the right:
From within the Policy tab, click on a tag to see all policies within that category/tag:
When in a governance meeting or taking Secretary perogative, use the Update Policy button to associate existing policies witha scope.
Feature: Archive Done Projects
Now you can archive your done projects to make them disappear from the project tab but stay in the database. Eventually, these will be findable via expanded operational data support, such as a Tactical Meeting History. If you'd like to actually delete a project, then you can still do that, but this is generally not advisable unless you want it to be gone forever (see below).
How to Archive projects
- Click the check mark when you complete your project to update the status to "Done"
- At the appropriate time (either when you complete it or after you report on it a final time perhaps), click the folder icon that appears on the top of completed projects. For now, what you will see is that the project no longer is visible on the project tab.
How to delete projects that are no longer relevant
Decide a project needs to be destroyed rather than completed? Remove it from the project tab by clicking on the project card (see below).
- Click on the project name to open the dialog box and edit the project
- Click the the trash can icon in the bottom left corner
- Click OK when asked if you are sure (if you ARE sure!).
Feature: Drag & Drop Projects in Grid View
In Grid view (found in project settings, click anywhere on a project card, and drag and drop a project either to reassign it to another person as individual action, move the project from one role to another (if viewing
by Role), and change the status.
To change the status/move to another column:
Click on the project card you want to move.
Drag the card to any where in the the desired column/status.
Release the mouse when the card is in the new status column.
Feature: Optional Project Link
Users can insert a URL into a project if needed to reference additional information about the project. This can be used to increase visibility into progress and clarity of what "Done" looks like for a project. To access the URL field, add or edit a project.
Feature: Tactical Meeting Guide
Users are now guided through the entire Tactical meeting process within GlassFrog to help circles easily practice and learn the process.
Secretary can open the meeting and the series of steps are displayed at the top from Check-In to Closing Round, and the corresponding tab will be displayed.
Click the green button to get to the next step. For example, after the checklist review, click Metrics to move to Metrics and display Metrics information.
During triage issues, enter agenda items one by one and hit enter after each one. Then click the check mark to complete it. Read the agenda announcement for more information and an image.

Secretary Feature: Cross Referencing
Tag role names within policies or role definition fields. Try out the new feature to link roles in accountabilities, purpose, and scope as appropriate. When creating a proposal, type the @ symbol followed by the role name, and you will get a drop down menu of options. Click the desired role and keep typing. If this cross-referencing feature is used, when the role name changes, the field referencing the role will automatically update. Additionally, if a proposal includes removing a role that is cross-referenced, GlassFrog will suggest specific objections to address the conflict.
Feature: Project settings
Users can customize the look of the projects tab. Click the gear icon in the upper right corner of the projects tab to display the options.
1)Show all/Hide empty to display either all rows or only those that contain projects.
2)Group by person or by role to organize the projects depending on your preference or needs. By person may work well for tactical meetings, and by role may be more useful in other cases.
3)View as rows or grid to quickly show all current, waiting, done, or future, while still keeping the data of what role or person owns the project.
To close the settings, click the gear shape a second time.
Feature: Fill in for Secretary
Circle members may open a Tactical or Governance meeting without the Secretary via the large button icons located above the Projects tab. This is to allow circles to meet when the Secretary is absent. See Section 2.7.4 in the Constution v 3.0 for the protocol on Surrogates for Elected Roles.
Show/hide link on Projects tab
For role fillers with no projects, the default view is that the role name is hidden and thus does not display on the Projects tab. To 'show all" circle members to add a project, click the Show all link in the upper right corner of the Projects tab.
Feature: Triage Issues Agenda
When Opening a Tactical Meeting, users can now capture agenda items within the left sidebar of GlassFrog. The first item entered will appear at the top of the list.
Click Open Tactical Meeting.
The Secretary can enter items one by one and hit enter after each item to build the agenda.
Click the check mark to the left of the item when it is completed, or click the “x” to the right of the item to delete it.
Capture actions and projects as needed in the main column to the right of the agenda, and add items at any time to the agenda list.
Email the Account Manager or submit questions via the webform if you need support.
Help System
We have launched help text intended to support users even more to practice Holacracy when using GlassFrog. When viewing a circle, within the left column users can see definitions as mouse-over tooltips on small question mark icons directly to the right of key terms such as Purpose, Strategy, Scope, and Accountabilities. If you have any questions, let us know via the webform or by contacting your GlassFrog Account Manager!
Updating a Project Status
You should now be able to easily assign a different project status by clicking on an icon in the upper left corner of each project card within the projects tab. With the check mark you can select status to done; select current with the green circle, select waiting with the red square, and select future with the hour glass.

As a result of this evening's update, you will now notice some differences in the overall visual appearance, including cleaner formatting when viewing the tabs in your circle. You'll also notice an indicator for project statuses, which will add more clarity for project tracking and weekly updates in tactical meetings. In addition to this visual indicator, you can select a status when adding a new project to the project tab. Clicking on a project name already captured will also allow you to choose Done, Current, Waiting, or Future.
Other changes are in the works and planned for the near future, and I will let you know as they arrive!

Widescreen View
You may notice that GlassFrog looks a little different. As of yesterday evening, GlassFrog now appears in widescreen, which will support easier usage and reading. To experience the full effect, you may need to clear your cache. Hold the shift key and click refresh to do this. With any questions or issues, please contact us via our support form, and we will respond promptly.
Checklists
As the next step in our plans for supporting the use of GlassFrog as a Corkboard, Organizations can now use GlassFrog for the Tactical Meeting Checklist Review. The Checklist tab is next to the Metrics tab. The available frequency options are weekly, monthly, and quarterly, and there is an optional field for a link for additional visibility. Checklist items can be associated with one role or all roles in a circle. Contact GlassFrog support with any issues or questions.
Metrics Update
GlassFrog now supports metrics. You can find the Metrics tab next to the Projects tab within your circle. Click the "+" button to add a metric, where you can add a description, role, and frequency. Optionally, users can add a link to where the metrics are stored for more detail. For assistance, click here to use our webform.
Update Deployed!
You're about to see, if you haven't already, what we're so excited about: our GlassFrog production update has just deployed. In addition to the new look and extended information available from each Circle page, GlassFrog now bakes in support for Tactical as well as Governance meetings. GlassFrog Maintenance 6/5/12
GlassFrog is scheduled for maintenance on Tuesday, June 5th between 10 pm and 12 midnight EDT (the actual time is likely to be only 1 hour or so, somewhere in that block).
New Functionality Added
As of a GlassFrog update tonight, we've added two key groups of functionality:
1) Working with Sub-Circles: You can now work with sub-circles in a governance meeting, including moving roles and policies from your circle into a newly-created sub-circle, and re-absorbing roles and policies from a removed sub-circle back into your circle. Creating a sub-circle can happen from scratch (for a totally new sub-circle), or you can expand an existing role into a full sub-circle. You'll see the new buttons to work with sub-circles within GlassFrog's governance meeting interface.
2) Working with Cross-Links: Version 3.0 of the Holacracy Constitution added the ability to authorize one sub-circle to appoint one of its roles as a cross-link into another sub-circle (see the Holacracy Constitution for details). This is now supported in GlassFrog, via a new act in a governance meeting to "Authorize a Cross-Link". Use this to either authorize a cross-link (by selecting a sub-circle from the resulting drop-down), or to specify a specific role to act as the cross-link (by selecting a role from the resulting drop-down). You'll see a cross-link role automatically show-up in the target circle's role list.
Looking forward, the GlassFrog development team here at HolacracyOne is now hard at work adding support for Holacracy's operational constructs. We'll announce updates as soon as they're available, and please do let us know if you have any questions or feedback in the meantime.
New: Search Added
We've just added search functionality to GlassFrog, in addition to fixing several formatting and usability-related issues. You'll see the new search box in the nav-bar on most pages - try it out and send us any feedback or suggestions!
Coming Soon: Core Role Definitions
Hi Folks - We'll soon launch an update to GlassFrog™ which will enhance a circle's core roles: Facilitator, Secretary, Lead Link, and Rep Link. Once this update goes live, you'll see the definition (Purpose, Scope, and Accountabilities) of each of these roles listed in the system, just like you do with other roles. The definitions all come from the latest version (v3.0) of the Holacracy™ Constitution; for those still using Holacracy™ v2.x, this shouldn't create much trouble as the definitions are very similar.
Once this update is deployed, you'll also be able to add Accountabilities and Scope within a governance meeting to the Facilitator, Secretary, or Rep Link, and edit or remove anything you've added; the system will not support adding to the Lead Link role, as v3.0 of the Constitution does not allow this (you should create another role instead to differentiate functions from the Lead Link, even if it's then assigned to the same person).
